Eluve Best Practices for Clinicians

πŸŽ™οΈ Enable Mic Permissions

Be sure to allow mic access so Eluve can capture your patient sessions. We recommend choosing "Always Allow" so you're not clicking "Allow" before every appointment. If you missed choosing β€œAlways Allow”, check out how to update your settings:

🎧 Optimize Your Audio

Place your device somewhere central between you and your patient, and minimize background noise where you can (turn music down or off, close the door, steer clear of noisy spots). Your notes will thank you!

🀝🏻 Patient Consent

Always get your patient's okay before recording. Check out our Onboarding Deck for sample scripts, or keep it simple with something like: "Our practice uses digital transcription to help with accurate note-taking. Are you okay with that?"

If a patient would rather not be recorded, no worries β€” you can dictate your notes into Eluve after the session wraps up and they've left the room.

πŸ”¦ Make sure to keep your browser tab active

If you click away from the tab, there is a chance your computer will go to sleep, which will interrupt the recording. The tab also needs to be active in order for the upload to complete.

πŸ“ More details = better notes

The richer the context, the better your notes will be.

  • Verbalize any clinical details you'd like captured.

  • The more questions you ask, answers you gather, and patient education you provide, the stronger your generated notes.

  • Clarify When It Helps β€” Speak specifics out loud.

    • When a patient says "I feel pain here," respond with: "Ah, you're feeling pain in your left shoulder. How long has this been going on, and how would you rate it today on a scale of 1 to 10?" Small clarifications like this lead to much sharper notes.

☝🏻 Remember, direct dictation works at any point β€” before your patient arrives, during the session, or after they leave. Many clinicians combine recording their patient session and direct dictation to ensure their notes have full context.

πŸ” Review your notes thoroughly

Once your notes generate, take a moment to review them for accuracy and tweak anything that needs adjusting. Everything is fully editable, and your changes save automatically.

✍🏻 Sync & Sign

Don't forget to transfer or sync your Eluve notes to your EHR and sign them. HIPAA doesn't set a specific deadline, but documentation is expected to be completed promptly β€” as soon as possible after service. Medicare guidelines (while not federal law) suggest signing at the time of service or within a day or two.
